We're looking for an Administrative Assistant to provide on-site administrative, project, and event management for multiple functions at our Pet Nutrition Center (PNC) campus in Topeka, Kansas. In this role, you will be an expert at managing competing priorities, taking initiative, and anticipating the needs of a diverse group of employees, customers, and vendors across an 11-team, multi-building site with over 300 employees.

This is more than just an administrative role! We are looking for someone with a high-level ability to think proactively and drive site-wide initiatives. You will serve as the central hub for your assigned client group to support a wide variety of tasks, skillfully triaging what needs to be done now versus later.

Responsibilites

  • Plan and Execute: Coordinate meetings, programs, and projects from start to finish, ensuring they meet specific deadlines and cost requirements.
  • Take Initiative: Anticipate logistical needs for events and projects, taking the lead on planning without needing a full checklist of instructions.
  • Manage Priorities: Serve as the go-to administrative expert for the assigned client groups, managing requests from numerous teams and individuals, and determining the appropriate level of urgency for each task.
  • Support the Team: Manage purchasing processes, including creating purchase orders and reconciling invoices. You will act as the subject matter expert for our Ariba purchasing system and lead the onboarding process for new employees and vendors.
  • Leverage Technology: Act as a power user for Google Workspace and other systems, helping teams use technology to improve their processes and projects.


Required Qualifications

  • Bachelor's Degree
  • 2+ years of relevant experience
  • Proven skills in planning, organization, and project execution
  • Experience in a fast-paced, multi-person support role where prioritizing and taking initiative were key responsibilities
  • Exceptional professionalism and the ability to effectively manage stress in a high-pressure, dynamic environment


Preferred Qualifications

  • Experience in a Coordinator or Project Coordination role
  • Experience supporting a multi-building corporate campus environment

Compensation And Benefits

Salary Range $47,000.00 - $58,500.00 USD

Pay is determined based on experience, qualifications, and location. Salaried employees may also be eligible for discretionary bonuses, profit-sharing, and long-term incentives for Executive-level roles.

Benefits: Salaried employees enjoy a comprehensive benefits package, including medical, dental, vision, basic life insurance, paid parental leave, disability coverage, and participation in the 401(k) retirement plan with company matching contributions subject to eligibility requirements. Additional benefits include a minimum of 15 vacation/PTO days (hourly employees receive a minimum of 120 hours) and 13 paid holidays (vacation days are prorated based on the employee's hire date within the calendar year). Paid sick leave is adjusted based on role and location in accordance with local laws. Detailed information regarding paid sick leave entitlements will be provided to employees upon hiring and may be subject to adjustments based on changes in legislation or company policies.
